Dear Members,
I have been asked by a couple of members to outline why attendance at the AGM and EGM is important for the future of the club
So here goes:
We are a member’s only club, run by members for the benefit of the members, and have 2 annual meetings
The Annual General Meeting held usually in November when the clubs audited accounts for the year ending the preceding 31 July are presented to the club. This is the opportunity for all members to raise questions with the clubs executive, mainly the treasurer as to how the clubs income (your subscriptions etc) has been spent, and to discuss the clubs financial plans for the future
To make the meeting “legal” in accordance with the clubs constitution we need 20 people to attend
The other annual meeting is the Election General Meeting, held at the end of every season when the members elect the executive committee to conduct the clubs business for the coming year.
The committee consists of 9 members
President
Chairman
Secretary
Treasurer
Youth representative
Mini representative
And 2 members elected from the floor who hold no specific job title, but are their to ensure that the interests of ALL club members are protected, when the committee is conducting club business
The Director of Rugby also sits on this committee, but is not an elected member, but an employee of the club, who is paid a small payment each season by way of honorarium
The committee meets at the clubhouse every 2nd Monday of each month to conduct the clubs business, but in real terms since E mails etc became the normal mode of communication are pretty much in touch with each other on a daily basis – any member with full voting rights is entitled to attend and observe the meeting, but should first notify the club secretary that they wish to attend
Again for the meeting to be “legal” 20 members need to attend
Most members and life members have voting rights and are entitled to attend the meetings, the exceptions being anyone under the age of 18 and President Lunch only members
To stand for election to any of the positions a member only needs a proposer and seconder, and if anyone wishes to see the job descriptions for any of the positions mentioned above please contact me john.smeaton@brentwoodrugbyclub.com
In an ideal world, the club should also have various sub committees operating, meeting regularly but not necessarily monthly, such as
Rugby committee
Youth committee
Mini committee
Facilities committee (To run the clubhouse)
Fund Raising committee
To compliment the only existing sub committee – the clubhouse development/new clubhouse, BUT these can only be formed and run if volunteers are willing to step forward and offer some of their valuable time to help run the club
